Haines Daniels Limited (the Company) provides psychotherapeutic counselling and coaching sessions to clients.

  • GP or emergency contact information

  • session notes and psychological assessments

  • health-related information relevant to therapy

  • payment and invoicing details

  • Contract: To provide psychotherapy or coaching services that you have requested.

  • Consent: Where explicit permission is required (e.g., sharing information with third parties).

  • Legitimate interests: To maintain professional standards and continuity of care.

How your data is used

Your data is used solely for therapeutic purposes, including:

  • scheduling and managing sessions

  • maintaining clinical records

  • communicating with you

  • ensuring your safety and wellbeing

Online therapy considerations

When therapy is conducted online:

  • The Company uses secure, encrypted platforms (e.g., Zoom, etc.) compliant with UK data protection standards.

  • The Company does not record sessions unless explicitly agreed in writing.

  • You are responsible for ensuring the privacy at your end of the call (e.g., by using a private space and a secure internet connection).

Data sharing

Your personal data will not be shared with third parties unless:

  • You give explicit consent.

  • There is a legal requirement (e.g., safeguarding concerns).

  • The Company is required to share information with professional indemnity insurers or supervisors under confidentiality agreements.

Data retention

The Company retains your records for a minimum of 3 years after therapy ends, in line with professional guidelines. After this period, data will be securely deleted.

Your rights

You have the right to:

  • access your personal data

  • request correction or deletion

  • withdraw consent (where applicable)

  • object to processing

  • lodge a complaint with the Information Commissioner's Office (ICO)

Security measures

The Company takes appropriate technical and organisational measures to safeguard your data, including encrypted storage and restricted access.

Complaints

Clients of the Company can raise a dispute or make a complaint by contacting the National Counselling and Psychotherapy Society (NCPS) through their Conduct Department at conduct@ncps.com.

Alternatively, Clients can access the British Association for Counselling and Psychotherapy (BACP) complaints procedures by emailing the BACP at professional_conduct@bacp.co.uk.

Where complaints relate to coaching, Clients can access the International Coaching Federation (ICF) complaint processes.
